Position: Administrative Assistant /
Receptionist (Entry-Level)
Engineering Resource Associates seeks a part-time Administrative
Assistant for our Warrenville office. This position primarily entails acting as
the front desk receptionist responsible for greeting visitors, answering the
phone, directing calls to the appropriate people, and various administrative
tasks.
Tasks include the following:

Answer phones, screen calls, and
greet visitors.
·
UPS shipping and coordination of
client document pick-ups.
·
Order and maintain office supplies.
·
Open and distribute mail, populate
and distribute daily cash receipts spreadsheet.
·
Communicate with cleaning company
and landlord regarding various building issues.
·
Assist engineering staff with
day-to-day tasks such as filing, scanning, printing, typing, compiling reports,
mail merges/labels, data entry, etc.
- Respond to regularly occurring requests for information by phone or e-mail when necessary.
·
Assist with managing the office
calendar, setup of internal meetings, lunch and learns, client events, and
webinars.
·
Assist marketing department with
edits on proposals and statements of qualifications as needed.
·
Deliver proposal packages as needed
to various destinations.
Qualifications/skills & knowledge requirements:
·
High school graduate
·
1-4 years administrative experience
in an office setting
·
Excellent written and oral
communication skills
·
Must have knowledge of standard
office equipment (copiers, scanners, fax, telephones, etc.)
·
Must have knowledge of a variety of
computer software applications including proficiency with the Microsoft Office
Suite and Adobe Acrobat X Pro (a high level of proficiency with Word and Excel
is required).

Knowledge of Vision, Adobe Creative
Suite (InDesign, Photoshop, and Illustrator) a plus but not required.

when communicating with clients and co-workers.

Must have the ability to use tact,
diplomacy, and professionalism in all interactions.
·
Analytical and critical thinking
skills are required to gather and summarize data for reports, find solutions to
various administrative problems, and prioritize work.

Must be detail oriented, organized,
and able to multi-task in a fast paced, ever changing environment.
·
Must be able to work independently
and within a team on projects.
·
Must be able to travel occasionally
to assist with the delivery of proposal documents and able to provide own
transportation.
