Star Farm Chicago is an urban farm in the Back of the Yards neighborhood that seeks to increase accessibility of locally grown organic produce through affordable farm stands, CSAs, year-round farmers markets participation, food donations, and providing local jobs, job training, and business incubation for adults with developmental disabilities and/or employment barriers, while engaging local families through our Children’s Community Garden Program, after-school program, hosting community events and workshops, and fostering a safe, green space for all.

Job Title: Stewardship and Development Coordinator

Department: Development

Reports to: Executive Director

Status: Full time, exempt

Summary Job Description:

The Stewardship and Development Coordinator works closely with the Executive Director and Communications Manager, serving as an operations specialist to ensure proper stewardship of donors to Star Farm Chicago.

This position supports the department’s internal systems, structures, and processes that enable the development department to meet and succeed budget and operational goals and maintain the highest standards of donor satisfaction and overall growth.

Working with the Executive Director, the Stewardship and Development Coordinator oversees the administrative backbone of a small and energetic staff, focused on increasing effectiveness and supporting all work related to prospect management, and dedicated to increasing revenue goals.

Responsibilities:

  • Stewardship Support
  • Work closely with the Executive Director, Communications Manager, and Community Food and Farm Manager in all gift processing, documentation, and acknowledgments;
  • Support committees (development, gala, and councils) by devising agendas, refining meeting materials, follow up details, and action items;
  • Work with the Executive Director to keep monthly detailed projections for contributions from individuals, corporations, and foundations. Flag deficiencies and facilitate plan adjustments.
  • Manage development data base, including establishing processes and standard procedures, and designing reports and queries.
  • Work closely and directly with the Executive Director, Communications Manager, and Community Food and Farm Manager on donor events, helping to setup and prepare materials for participants (check-in materials, name tags, etc.); and Identify, engage, and manage volunteers to support development operations and events.
  • Departmental Coordination
  • Work closely with the Executive Director in implementation of development plan, including department workflow, coordination and prioritization of timelines; track deadlines for projects including print production;
  • Develop and manage overall development calendar;
  • Track department expense budget including project budget for annual Soiree and other major activities; Interface with finance department to complete monthly reconciliation, cash flow projections, contributions forecasts;
  • Conduct routine audits of department’s collateral supplies to ensure enough on hand (envelopes, letterhead, etc.) and place timely supply orders; and
  • Submit reimbursement forms, invoices, travel expense reports, tech requests and receipts to business office and follow up as needed to ensure that they are processed in a timely manner.

Minimum Qualifications:

● Four years of experience working in development operation

● Experience managing donor or member data base

● Detail oriented, with demonstrated success in working with budgets and managing spreadsheets in Excel, along with excellent and proven writing skills

● Ability to thrive in a fast-paced, challenging, and rewarding environment

● Skill in navigating different personality types among internal and external constituencies

● Highly organized and attentive to details

● Ability to function effectively as team member and a willingness to participate in activities and assignments that help meet the goals of and objectives of the department

● Sense of humor combined with commitment to personal responsibility

● BA/BS required

Pay and Benefits:

Starting salary at $60,000/year with a monthly health reimbursement of $300; 2 weeks paid vacation, 10 paid sick days and 5 paid personal days in addition to the city of Chicago ordinance on paid employee leave time.
